Approve and Take Actions

This article provides a comprehensive guide to approving recognitions, campaigns, and feedback, helping users understand the step-by-step process, streamline their workflow, and ensure timely and appropriate acknowledgment across their organization.

In JobPts, approvers can approve, edit, or reject recognitions, as well as approve or reject nominations, campaign submissions, and feedback requests. Additionally, each manager/approver can review their team's recognition activity to see how frequently team members are being acknowledged. Many organizations use this data as part of their annual performance reviews and to evaluate team goals and achievements.

There are two ways to access the Approvals page: either by clicking the Approvals tile on the homepage or by hovering over your profile image and selecting Approvals from the dropdown menu.

The tile provides access to the following approval options:

  • Awards for Review โ€“ List of all pending recognitions and nominations.
  • Campaign Submission for Review โ€“ List of all pending campaigns.
  • Requested Feedback for Review โ€“ List of all requested feedback from colleagues.
  • Accepted Awards โ€“ List of all accepted awards.
  • Rejected Awards โ€“ List of all rejected awards.
  • Accepted Campaign Submissions โ€“ A list of already accepted campaign submissions.
  • Rejected Campaign Submissions โ€“ A list of already rejected campaign submissions.
  • Expired Nomination Approvals - A list of nominations whose nomination period has ended. 
    *Note: Expired nominations are considered for approval only in the following cases:
    - If there is no voting, the nomination expires when the nomination period ends.
    - If there is voting, the nomination expires when the voting period ends.

Steps for accepting or rejecting an award:

Select Awards for review, then click Approve/Reject to take action, or use the Details button for more information.

If there are any attachments, approvers will be able to preview them before approving/rejecting the award.

Review the award details and select one of the three options below. As an approver, you may add a comment when approving or rejecting the award. Once your review is complete, click the Approve or Reject button to submit your decision.

*Note: While this example demonstrates the approval process for a monetary award, the same steps apply to campaigns and feedback requests.

If you select Edit Value, you can adjust the initial points value submitted by the sender.

A pop-up window confirms if the award is successfully approved. 

The awards approval process may include both a 1st-level and a 2nd-level approver. During the approval process, both approvers are notified of the status of the recognition, whether it is approved, pending or rejected.

If the award is approved by the 1st-level approver, the process moves forward to the 2nd-level approver. In this case, the 1st-level approver is also notified of the current status, indicating that the transaction is pending.

This means that the initial status will remain as "Pending" until the 2nd-level approver approves the award. Once the 2nd approver grants approval, the status at the 1st-level approverโ€™s end will be updated to "Approved."

If the 1st approver approves the award but the second one rejects it, then the reward will be still visible in the Accepted Awards tab but it will have status โ€œRejectedโ€.

When the award is approved by both approvers the status for the 1st approver will be updated to "Approved," and the award will remain in the Accepted Awards tab.
