Download Employee Assets Report

This report provides administrators with the ability to download employees certificates, wrap-ups and memory books.

This report provides administrators with the ability to download various employee-related documents, such as certificates, wrap-ups, or memory books. The page includes filters and document details to help narrow down searches and download specific files.

To open the report, navigate to:

Login to JobPts -> Admin Center -> Operational Reports -> Download Employee Assets Report

At the top of the report, you will be displayed with a filter that allows you to customize the data displayed based on specific criteria. This includes filtering by document type (certificate, memory book & wrap up), user's country and organizational unit. By applying these filters, you can narrow down the data to focus on specific segments and obtain targeted insights.

To further refine the report, you have the option to select a specific date range using the "Date from" and "Date to" fields. This enables you to analyze employee data within a specific time frame.

Additionally, you can search for a particular user by inputting their name or relevant identifier in the search field, making it easier to locate and analyze individual employee data.

The report will generate the following data:

    The following columns are displayed on the report: 

    • Recipient Name - Full name of the employee who received the document.
    • Recipient Username - The recipientโ€™s username.
    • Date Issued - The date when the document was issued (format: DD-MM-YYYY).
    • Document Type - Specifies if the document is a Certificate, Wrap-up, or Memory Book.
    • Award Type - The type of award associated with the document (Recognition, Nomination, Service Anniversary, etc.).
    • Actions - Includes the options to Download and Audit Log. The Audit Log button only appears if an admin has previously downloaded the certificate.

    The Audit Log button allows admins to download an Excel file containing the history of document downloads. This report includes the following columns:

    • Downloaded By - Full name of the admin who downloaded the file
    • Downloaded Date - Date and time of the download 
    • Reason for Download - Reason provided by the admin 
    • Downloading Date - The date when the file was originally available for download
