Mandatory pop up that collects employee private email, phone number and allows to select a preferred communication channel.

A new mandatory pop-up in the Employee App ensures every new user provides their private email, phone number, and preferred communication channel (SMS or email) upon first login.

Upon the initial launch of the employee application, a mandatory pop-up will appear that prompts users to provide essential personal information, including their private Email address, phone number, and preferred communication channel.

This step is crucial for ensuring effective communication and engagement within the organization, and is targeting deskless employees.

It is essential to highlight that this pop-up cannot be dismissed during the application's initial launch, meaning that new users must complete the required information before they can continue using the app. This data collection is vital for creating a tailored experience, ensuring employees receive relevant notifications and updates through their preferred communication methods.

Below are the steps involved in the initial pop-up that gathers employee phone numbers and email addresses. The mobile screens are shown as this feature is predominantly utilized by deskless employees:

  1. Employees will be prompted to enter their mobile number, which will be used to send them notifications. If they do not have a mobile number or prefer not to provide one, they can simply click 'Skip' to proceed to the next step, where they will enter their private email address. (Step 5).
  2. After the employee submits their mobile number in the form, a verification code will be dispatched to the provided number for confirmation.
  3. Employees are required to input the verification code they received via SMS to confirm their mobile number.
  4. Once the verification code is correctly entered, a confirmation message will appear. Users must then click 'NEXT' to proceed to the next step.
  5. In the next step, employees will be prompted to provide their private Email address. However, if they have successfully verified their mobile number, they have the option to skip this step.
  6. After employees provide their private Email address, a verification code will be sent to that Email for confirmation purposes.
  7. Employees must enter the confirmation code they received to successfully verify their private Email address.
  8. After successfully entering the verification code, employees will be asked to choose their preferred notification channel. They can select one option from the available choices: SMS or Email and click DONE.
  9. After clicking DONE, the pop-up window will close.

Upon successful completion of the verification process, the employee will be fully onboarded, and the mandatory pop-up will no longer be displayed during future logins to the Employee application.

Final notes

The mandatory pop-up feature in the Employee Application significantly enhances internal communication and engagement by ensuring that essential contact informationโ€”such as private Email addresses, phone numbers, and preferred communication channelsโ€”is collected from all new users upon their first login.

By requiring this information upfront, companies can overcome common barriers to communication, particularly in environments with a large deskless workforce that may lack regular access to company systems or Email.

This ensures that important updatesโ€”such as shift changes, safety protocols, or company-wide announcementsโ€”are delivered in a timely and personalized manner, directly to employees' preferred channels. As a result, the organization benefits from improved operational efficiency, stronger employee alignment, and higher engagement across all levels of the workforce.
