User Preference Anniversary Configuration: Fixed Anniversary Dates, Reminders and Expiry Setup

This article helps admins to manage reminders for user preference anniversary expirations, configurable celebration dates, redemption deadlines & ability to extend expired anniversaries, ensuring they never miss the opportunity to redeem their items.

This article explains how administrators can configure User Preference anniversaries in JobPts, with full control over fixed celebration dates, reminder notifications, expiration periods and extension options. These settings apply only when the anniversary type requires the user to select an item.

All configurations must be completed within a single calendar monthโ€”including sending the anniversary notification on the exact date, scheduling both reminders and setting the expiration date.

First, log in to the Admin Center of the JobPts application. On the left-side panel, click on Administration and then on System Settings. Under Module Configuration tab select  User Preference Anniversary Settings.

 Login to JobPts -> Admin Center -> Administration -> System Settings -> Module Configuration -> User Preference Anniversary Settings

*Note: Any changes made to the configuration in system settings will only apply to future user preference anniversary celebrations. These changes will not affect the expiration dates or notification emails for transactions that have already been processed.

If 'User Preference Anniversary Settings' checkbox is selected, additional options will appear to configure when the items will be sent:

  • Send Date - Enter a specific date to schedule all anniversaries to be sent on that day each month.
  • First Reminder checkbox - A reminder will be sent X days after the send date to users who have not selected their preferred item (14 days is the default after the fixed anniversary date).

  • Second Reminder checkbox - A final reminder will be sent X days after the send date to users who have not selected their preferred item (21 days is the default after the fixed anniversary date).

  • Set Gift Expiration checkbox - Define an expiration period for user-selected anniversary gifts.
  • Notify Manager -  If this is checked, another field called Send Date will show up. This allows the user to set how many days before the anniversary the manager should be notified. By default, the value is set to 0, which means the manager will get the notification on the anniversary date itselfโ€”using the same logic as service anniversaries.

*Note:  Reminders will stop as soon as the user selects their gift.

The user will receive notifications within the app, as well as an email reminder with a button that redirects them to the 'My Awards' page.

*Note: If the user does not redeem their preferred item within the specified period, it will be considered expired.

The Anniversary Report provides a full view of all anniversaries for the current year, including both past and upcoming events.

In the Admin Center, you can find this report under Transactional Reports, labeled "Anniversaries." It also includes an Expiring Anniversaries tab, which helps you handle user-configured anniversaries based on individual preferences. 

*Note: Admins will have the ability to extend expiration dates by X days for specific users.

Login to JobPts -> Admin Center -> Transactional Reports -> Anniversaries -> Expiring Anniversaries tab

*Note: Expiring Anniversaries tab will be visible only if the "Expire Anniversary for User Preference" setting is enabled in system settings.

The following filters are available on this page:

  • Date From & Date Until โ€“ There is no limit on the date that can be selected for starting/ending date.
  • Country โ€“ A dropdown listing only the countries where at least one user has received an anniversary of this type.
  • Status โ€“ Displays the item's status (Selected, Not Selected or Expired) based on whether the user has chosen their predefined item or if the selection period has expired.
  • Search Users โ€“ Allowing the admins to search for a specific user.

The report includes the following columns below:

  • Recipient โ€“ Full name of the recipient.
  • Username โ€“ The recipientโ€™s username.
  • Country โ€“ The recipient's country.
  • Anniversary Sent โ€“ The fixed date when the anniversary was sent.
  • Expiration Date - The date when the item selection period will expire.
  • Status โ€“ Displays one of the available statuses (Expired, Not Selected, Selected)

If an item is marked as 'Expired,' a button labeled 'Extend Expiration' will appear next to it.

Clicking the button will open a modal, allowing the admin to extend the expiration date by X days.

This will help users who are on maternity leave or other extended absences, ensuring their anniversaries don't expire before they have the chance to celebrate.

*Note: The new expiration date will be the original received date + X days.
