      Create and Manage Moment Types with Memory Books

      This article explains how to create and manage Moment Types with Memory Books from the JobPts Admin

      Manage Moment Types gives you an opportunity to create and manage the Moments that Matter that will be available in the JobPts Application, as well as link to the respective Memory Books.  Memory Book is a digital experience showcasing the congratulatory comments that managers, peers, and workplace friends submit for any type of “moment that matters”.

      To start, log in to the Admin Center of the JobPts application. From the left-side panel, click on Programs and then on Manage Moment Types

      Login to JobPts -> Admin Center -> Celebrations -> Manage Moments That Matter

      The Manage Moments That Matter page displays all of the moments that are available for selection when creating a new moment through the JobPts Application.

      *Note: You will not be able to create Moment Types if Moments that Matter is not enabled in the system settings.

      To create a new Moment Type, select the Create New button.

      This action will open the Moment Type Details page, where the moment type should be defined. 

      • Moment Title: here insert the name of the moment type
      • Moment Description: here insert the moment description 
      • Moment Image: select the moment image or upload an image
      • Delay visibility to User - Hide the moment from the end user until the event date.  
        This feature is applicable if the moment is created for someone else. If a user creates a moment for themselves, it will be visible instantaneously.
      • Include in Home Page slider - If this option is enabled, the moment type event will be counted and visible in the home page slider.

        Moment Roles:

      • Moment Creators 
        • Managers
        • Everyone for their department
        • Everyone for their team
        • Company Structure

      The Company Structure option will enable you to setup a customized group of people according to the filters to each client, such as Country, Employment Type, Paygrade, Job Title etc.

      • Moment Participants
        • All - The creator of the moment will be able to invite all employees to view and participate in the celebration.
        • Individuals - The creator of the moment will be able to invite individuals to view and participate in the celebration.
        • Company Structure
      • Moment Recipients 
        • All - The creator of the moment will be able to invite all employees to view and participate in the celebration.
        • Direct Reports - The creator of the moment will be able to invite the direct reports to view and participate in the celebration
        • Company Structure
      • Moment Options: 
        • Manager for all - If checked, managers can create moments that matter for anyone.
        • Manager for direct reports - If checked, managers can create moments that matter for anyone from their direct report list.
        • Department - If checked, individual users can create moments that matter for anyone from their department.
        • Team - If checked, individual users can create moments that matter for anyone from their team. Team is considered the group of users that are under the same manager.
      • Reward Options:
        • Connect a Swag Item - Select one of the available swag items to connect with the moment type 
        • Annual limit of swag items received per user - Limit the number of swag items a user can receive per year per moment 
      • Communications:
        • Enable SMS - If checked, users will receive notifications via SMS on their mobile device 
        • Allow sender to add phone number - If checked, the sender will be able to enter a phone number to users who do not have a registered phone number within the application
        • SMS recipients 
          • All - send notification to all employees 
          • Deskless employees - send notification only to deskless employees 
        • Message Type
          • Appreciation SMS Text Message - If checked, the appreciation message will be limited to 160 characters. The recipient will receive the recognition message via SMS.
          • Notification SMS Text Message - If checked, the appreciation message is not limited but the recipient will receive notification SMS without the recognition message in it. 

      • Memory Book:

        • If the moment type can be defined as Memory Book, enable the "Create as Memory Book" checkbox
        • Select the Template for the Memory Book
          Note: The available templates are predefined in the so called BoardFlo instance.  Contact your Customer Success Manager, if BoardFlo functionality is not deployed and activated.
        • Manage the actual templates for Memory Books in the admin tools of BoardFlo.  Our customer success team will further guide you if you need to adjust the standard delivered templates for memory books.
      • Moment Settings:
        • Remove Upload Files from congratulation message
        • Remove eCard from congratulation message
        • Remove Gif from congratulation message

      Once the moment type has been defined, click Submit to save the moment type.
