Create Monetary Program

A monetary award is an option for an employee/manager to recognize a coworker and an opportunity to send points.

In this article:

To create a monetary recognition program, access the Admin Center of the JobPts application. On the left-side menu, click on Programs, then on Manage Peer to Peer Programs and select Create New Program.

Log in to JobPts -> Programs -> Manage Peer To Peer Programs -> Create New Program

To start creating a new program, select the Create New Program button.

A new screen opens with multiple fields to be filled in to create the monetary program.

  • Program is active - enabling and disabling the program.
  • Copy values from existing program - option to select any of the available preconfigured programs to copy the value fields over to the current program.
  • Program name - give a specific name to the program as it will appear in the application.
  • Program Type - select the Monetary Recognition Program to recognize someone by awarding them points.
  • Under Program Assistance write a text to briefly explain the purpose of the program. This text will appear in the application in the right-side assistance panel.
  • Under Program Description write an explanation about the program. This text will appear under the name of the program in the application.
  • Select a Program Image or Upload Award Image - choose from a preselected list or upload their own images for any program, nomination, ranking role, program step, etc. With this option you can fully personalize the theme of JobPts. 
    Reward Options - under Recognition Preference, you can select the program to be by Points or Swag Item.
  • If you select the Points option, a new option Program by will be displayed where the admin needs to select if the monetary program will be defining the award values by:
  • Steps - these are different โ€˜levelsโ€™ under the same recognition program. For each step different amount of points is rewarded.
  • Range - is a span of points with defined minimum, maximum and default values.
    • If Step is selected, the following options will be available:
      • Add New Level - the admin user will be able to create levels when defining the steps for monetary programs. The levels will be on a higher scale than the range, meaning that the user will be able to create:
        • Level 1 
        • define the Level Name.  
        • define the Level Guideline;  
        • define the Level Image; and  
        • define different Step Value (add multiples values)  

The created level(s) will be applicable in the Select Award Values page while sending the monetary recognition through the JobPts Application. 

Note: The admin user can add multiple levels to a monetary program. When defining the steps for the monetary program, the levels are not mandatory. 

Step details

Step Name - the name of the step.

Step Guideline - describes the program steps and for whom it is intended; appears in the right menu when the program is open.

Step Image or Upload Step Image - choose from a preselected list or upload their own images for any program, nomination, ranking role, program step, etc. With this option, you can fully personalize the theme of JobPts.

Step Value - the value of the step.

Step for (countries) - whether this step will be available for all countries, or by selecting "Choose Country" to select a specific country.

Add Step - add one additional step.

In the end, click Save to save the steps that were created.

If you select Range, these fields are displayed to complete:

  • Range Name - name of the range.
  • Min. Value - minimum points to award.
  • Max. Value - maximum points to award.
  • Default Value - the default number of points that shows in the application.
  • Range Image or Upload Range Image - choose from a preselected list or upload your own image for any program, nomination, ranking role, program step, etc. With this option you can fully personalize the theme of JobPts. 
  • Range Guidelines - describes the program steps and for whom it is intended ; appears in the right menu when the program is open.
  • Range for countries - whether this range will be available for all countries, or by selecting "Choose Country" to select a specific country.
  • Add Range - to add additional range.

  • If you select the Swag Option, you will be displayed a new option to select one of the swag items. 
  • Program Participants - select between:
    • Program sender boxthere are multiple options to choose from:
      • All โ€“ each employee can recognize another employee with the recognition program.
      • Managers โ€“ only managers can recognize employees with the recognition program.
      • By Company Structureโ€“ only employees that belong in a certain organization unit will be able to use the recognition program.

    • In the Program recipient box, there are different options to select:
      • All โ€“ all employees will be listed as eligible for the recognition.
      • Only Direct Reports โ€“ only employees to whom the user is a direct manager, will be listed as eligible for the recognition.
      • By Company Structure โ€“ only employees that belong to the certain organization unit will be listed as eligible for the recognition.

* Note: When โ€œManager" or "Company Structureโ€ is selected, an additional field appears to define the company structure recipients. Here you can define if you want to filter by Country, Org Unit, Job Title, Company, or Individual Users. 

To filter by Country, select the country and then select if you want to include or exclude a specific country. After defining the filter, click on Save. You can define multiple filters.

  • Recipients
    • If Enable Ad Hoc Team Recognition is selected, it will include all teams already created by individuals and will allow the creation of new teams from all users that are added as recipients of this recognition. 
      • If Enable Ad Hoc Team Recognition is selected, we will display an option for Team Members Limit. This will enable the admin user to limit the number of members in the Ad Hoc team when sending a monetary recognition. Based on the limitation here, the monetary program cannot be sent to Ad Hoc Teams with more team members than the defined limits.

    • If Enable Global Team Recognition is selected, it will include global teams created by administrators. If only this option is selected, the goal of recognition will be to recognize a global team with a common goal, without the ability to add individuals or create new teams. 
    • If Enable Individual Recognition is selected, it will include only individuals as recipients. In case team recognitions are not allowed, individuals cannot be grouped as a team. 
      When the "Enable Individual Recognition" checkbox is selected, an additional toggle labeled "Restrict to Single Recipient" appears. This option limits the recognition process to one recipient only, preventing any transactions involving multiple recipients.
  • Approval By
    • Approved by the senderโ€™s manager; or
    • Approved by the recipient's manager

      • Budget is Active - activate this button since it is a monetary program and need to have the program connected to a budget. Once this button is enabled, the user should choose the right budget from the Program budget check.
    • When the Approval level is 1 or 2, you can set approval threshold depending on the value of the awarded recognition. For more details please visit the Manage Approval Threshold article.

  • Annual Limit
    • Annual limit of recognition received per user - check this box and define the recognitions that can be received per user
    • Annual limit of recognition sent per user - check this box and define the recognitions that can be sent per user
    • Annual 1:1 transaction limit - the default value for the 'Transactions Allowed' field is set to 1, allowing each user to recognize another user once. This value can be increased but cannot be reduced below 1
    • Annual limit of recognition points received per user - check this box and define the recognition points that can be received per user
    • Enable connected thank award - enable this box to connect the monetary program with a thank award (this would enable to user to send a thank award when the annual limit of recognitions points per user has been reached)
    • Annual limit of sending duplicate award reasons - when this option is enabled, the user can send only one recognition for each award reason available in the program.

  • Period 
    • Custom Date Range - If checked, you can adjust the date range for when the program will be available for the users. 
  • Communications
    • Enable SMS - If checked, users will receive notifications via SMS on their mobile device 
    • Allow sender to add phone number - If checked, the sender will be able to enter a phone number to users who do not have a registered phone number within the application
    • Allow sender to skip SMS - If checked, it will allow the sender to choose if they want to skip the SMS notification.
    • SMS recipients 
      • All - send SMS notification to all employees 
      • Deskless employees - send SMS notification only to deskless employees 
    • Message Type
      • Appreciation SMS Text Message - If checked, the appreciation message will be limited to 160 characters. The recipient will receive the recognition message via SMS.
      • Notification SMS Text Message - If checked, the appreciation message is not limited but the recipient will receive notification SMS without the recognition message in it.

Program values & settings

    • Award Reason type
      • Predefined list โ€“ When this option is selected, additional field โ€œAward Reasonโ€ appears and the user can select the available reasons.
      • Free text โ€“ When free text is selected, the user can manually write the reason under โ€œAward reasonโ€ (see picture).
      • None โ€“ When this is selected the โ€œAward reasonโ€ filed will not be visible in the application.
    • Notify Manager
      • Yes - Notification will always be sent to the recipient's manager by default.
      • No - Notification will not be sent to the recipient's manager by default.
      • Sender's Preference - Sender of the appreciation will be given the option to decide whether or not to send the notification to the recipient's manager. Once selected, default preference is mandatory and must be selected to proceed further.
        *Note: the Notify Manager option will appear only if the program is Non-Monetary, or Monetary with approval level 0.
    • Additional options
      • Program reason required - if this option is selected, the nominators must select an award reason to send the recognition.

        *Note: If there is at least one active award reason type with award reasons connected to it, you will be only able to select the award reasons which are connected to an award reason type. You wonโ€™t be able to select other active award reasons which are not connected to an award reason type.

        Below is an example of a program configuration where two award reason types "Leadership Expectations" and "Above and Beyond" are enabled:

      • Automatic feed posts - If enabled, all received recognitions will be automatically published on the social feed wall.
      • Program eligible for Boost - If enabled, the Boost feature will be available for this program. 
      • Prevent Social Wall Sharing - If enabled, wall posts will be deactivated for this program 
      • Notifications with Award reason image - If this option is enabled, email notifications will also display the award reason image.
      • Slack award (only non-monetary programs) - If this option is selected, all eligible employees will be able to send recognitions directly from Slack.
      • Payout Award - If this option is selected, employees have option to get their reward on their bank account (only for monetary programs). For more details check this article.
      • Remove Upload Files from the recognition message- If this option is selected, the "Upload Files" button will be removed when sending this program. 
      • Remove eCard from the recognition message- If this option is selected, the "eCard" function will be removed when sending this program. 
      • Remove Gif from the recognition message- If this option is selected, the "Gif" function will be removed when sending this program. 
      • Notify others - If this option is enabled, additional users can be added to be notified by email when the recognition is sent. 
      • Hide program from application - If this option is enabled, the program won't be displayed in the list of programs available in the application itself. It will be accessible only through the Admin center.
