Recognition Experience Updates

Improved reporting and customization for a seamless recognition experience

๐Ÿ“ข Whatโ€™s New

  1. AI Message Assistant for recognition messages (configurable)
    Users can now generate recognition messages using AI suggestions based on a short input and selected tone. The feature is configurable and disabled by default.

    Notes to Consider:
    Admins can enable the feature under System Settings > General Settings > AI & Message Support using the new checkbox AI Message Assistant. Once enabled, a field appears to define a Monthly AI Message Limit (default: 5).

    The feature allows users to generate and regenerate AI-written messages, each counting toward the monthly limit. Once the limit is reached, the feature is disabled until the next month. Messages respect the character limit and tone settings.
    Use Case: Supports users in writing well-structured, personalized recognition messages with minimal effort.

  2. Smart recipient suggestions for individual recognitions
    The recipient selection screen for individual recognitions now includes intelligent suggestions that appear automatically when the โ€œIndividual(s)โ€ filter is selected. These suggestions help users identify meaningful recipients based on relationship, recognition history, and activityโ€”such as direct reports, frequent collaborators, and peers who havenโ€™t been recognized recently. The system displays up to 7 eligible users, prioritized by relevance, and hides the section entirely if no suitable matches are found. Suggestions disappear as soon as the user begins typing, and all standard validation rulesโ€”such as eligibility, budget limits, and required dataโ€”are enforced regardless of how a recipient is selected.

๐Ÿ”ง Enhancements

  1. Minimum Message Quality Control in MQI (configurable)
    System administrators can now configure the Message Quality Indicator (MQI) to enforce a minimum message quality threshold for recognition submissions. When enabled, users will be blocked from sending low-effort or meaningless messages (e.g., blank text or filler content) that fall below a defined quality score. MQI now evaluates messages only when the user clicks โ€œSend,โ€ applying dual thresholds: an alert threshold for advisory warnings, and a required minimum score that disables message submission until improved. Administrators can set the minimum required score (default: 30%) and optionally enable support for non-English languages, which uses translation logic for evaluation of longer messages. This helps ensure recognition remains thoughtful, authentic, and resistant to misuse.

    Use Case: Strengthens the quality and credibility of recognition by preventing the submission of blank or low-effort messages, especially in leaderboard-driven environments.

  2. Certificate download option added to Sent Awards (configurable)
    Senders can now download award certificates directly from the Sent Awards page, enabling them to print and present recognition physicallyโ€”ideal for employees who may not regularly access the platform, such as frontline or deskless workers.

    A new checkbox setting under System Settings > Display Preferences labeled โ€œCertificate Download (Sent Awards)โ€ controls the availability of this feature. It is disabled by default and must be enabled by an admin.

    When enabled:

    • A download link will appear at the center of the Sent Awards detail page, below the appreciation message.
    • The certificate will be available only if:
      • A certificate is defined and downloadable from the recipientโ€™s My Awards page
      • The award has been approved
      • The award is not related to moments with Memory Books (these do not generate certificates)

    Rejected or pending awards will not display the certificate download option, even if a certificate context exists.

    The same PDF format used in the recipient's view will be used for the sender download.

    Use Case: Empowers managers to deliver recognition in person when digital access is limited, reinforcing meaningful recognition in all workplace environments.

  3. Anonymous nominations hidden from managers in team member profiles
    To preserve the confidentiality of anonymous nominations, managers will no longer see anonymous nominations sent to themselves when viewing their direct reportsโ€™ profiles. These nominations will be excluded from both the Sent Awards list and the Inside/Outside Team nomination counts shown at the top of the employeesโ€™ profile.

    Use Case: Prevents managers from identifying the sender of an anonymous nomination received from a team member, preserving confidentiality and trust in the nomination process.

  4. Expanded award types on Manager Statement page
    The Manager Statement page now includes not only peer-to-peer recognition, but also service anniversaries, birthdays, and nomination wins. A new โ€œAward Typeโ€ filter allows managers to view specific categories based on available data. The filter adapts dynamically and displays only relevant types. The report now supports certificate downloads for nomination and service awards (if available), and the export reflects all visible award types based on the selected filters. The summary section has been relabeled to โ€œTotal awards received by your teamโ€ and shows only monetary awards.
