Admin Center Updates

Explore these features in the Admin Center for a seamless and personalized user experience.

๐Ÿ“ข Whatโ€™s New

  1. Manual Service Anniversaries Trigger

We are introducing a new feature in the Admin Center to enable admin users, such as Customer Success Managers (CSMs) or Customer Support (CS), to manually send service anniversary awards to employees. This functionality provides an alternative solution in cases where the automated job fails, ensuring no employee misses their anniversary recognition.

Where to Find It: Admin > Administration Tasks > Manual Service Anniversaries

    Accessible for User Type: Managers

Reference Documentation: Learn more in our detailed documentation.

Use Case: This feature allows admins to send anniversary awards manually when automated jobs fail to trigger, ensuring all employees receive their anniversary awards promptly. Admins can add a recipient, view the hire date, and select the appropriate milestone and award to celebrate.

  2. New Recognition Analytics Configuration Options

We have introduced new checkboxes under Admin Center > Administration > System Settings > Recognition Analytics to provide more flexibility in controlling data visibility for managers, ensuring compliance with data protection requirements. These new checkboxes include: My Workforce Tile and Inside vs Outside Reach Tile.

When these checkboxes are enabled, the corresponding tiles will be visible in the manager's analytics view. If all checkboxes are disabled, the โ€˜My Impactโ€™ tile will remain visible by default. To meet data privacy concerns, these options allow clients to restrict which recognition data managers can view, preventing unnecessary access to individual transactions.

Where to Find It: Admin Center > Administration > System Settings > Recognition Analytics

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

Use Case: This feature addresses data privacy concerns raised by clients who prefer to limit the visibility of recognition transactions for managers. It allows organizations to configure what insights managers can access, ensuring sensitive recognition data is shared responsibly while still providing insights on team dynamics and engagement.

  3. New Culture Profile Configuration in System Settings

We are adding a new checkbox labeled โ€˜Culture Profileโ€™. When enabled, this checkbox activates the Culture Profile page in the application and reveals additional configuration options for Department and Team. By default, the Culture Profile checkbox is enabled. If unchecked, all related configuration options will be hidden, and the Culture Profile page will not be accessible in the application.

Where to Find It: Admin Center > Administration > System Settings > General Settings > Culture Profile Configuration

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

  4. Configurable Leaderboard Tile for Top Appreciators and Recipients

We have added a new configuration option for the Leaderboard tile, allowing administrators to set the number of top appreciators and top recipients displayed. This number can be customized to be more or less than the current limit of 100, providing flexibility based on organizational needs.

Where to Find It: Admin Center > Application Settings > Leaderboard

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.
  5. Upload Excel File Option for Earn Points Campaigns
We are adding an "Upload Excel File" option as the third choice in the dropdown menus for managing earn points campaigns. This feature will follow the same modal and logic used for the "Upload Excel File" functionality in the Manage Nominations section.

With this enhancement, admins will have the ability to upload users via Excel in addition to the standard methods of adding users to the campaign.

Where to Find It: Admin Center > Campaigns > Earn Points Campaigns

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

  6. New System Setting for Recognition Messages and Comments
We are implementing a new system setting configuration that encourages users to use English for recognition messages and social feed comments. However, users will still have the freedom to send recognition messages or comments in any language they prefer.

Where to Find It: Admin Center > Administration > System Settings > General Settings

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

Use Case: This feature aims to standardize communication within international organizations by encouraging the use of English, which can improve clarity and understanding among team members. While promoting a common language for recognition messages and comments, users still have the flexibility to express appreciation in their preferred languages.

  7. New Report for Downloading Employee Assets
We are introducing a dedicated page in the Admin Center, titled Download Employee Assets, that allows admins to easily download certificates, wrap-ups, and memory books for efficient document management. Additionally, a log will be maintained for each admin download, including the reason for the download.

Where to Find It: Admin Center > Operational Reports > Download Employee Assets

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

    Use Case:
This feature is particularly useful for deskless employees, enabling admins to quickly print and distribute certificates and memory books directly.

  8. Control Employee Availability for 'Redeem for Someone Else'

A new configuration option has been introduced in the Admin Center that allows admins to control which employees are available in the 'Redeem for someone else' list. This setting enables precise management over employee selection for whom rewards can be redeemed, ensuring that only specific employee groups (such as deskless employees) are available for admins to redeem rewards on their behalf.

Where to Find It: Admin Center > Administration > System Settings > Module Configuration

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

Use Case: Admins can now configure the list to ensure that only deskless employees are eligible for reward redemption. This added control allows admins to follow specific company policies regarding reward distribution, ensuring that rewards can only be redeemed for the intended employee group.

  9. Points Transaction Log Report

We are introducing the Points Transaction Log Report in Admin โ€“ Financial Reports. This new report functions similarly to a bank statement, providing a detailed log of all points transactions for each user. It includes both points received and points spent, allowing for comprehensive tracking and auditing of point activities across the organization.

Where to Find It: Admin > Financial Reports

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

Use Case: This report allows admins to view each transaction in detail, providing insights into points received and spent by users. It helps in tracking individual user transactions, ensuring transparency and accurate tracking of points activity.

  10. Admin Configuration for User's Choice Gift in Service Anniversaries

We are introducing a new User's Choice Gift award type for service anniversaries in the admin interface. Admins can now select a maximum of six Swag items for each anniversary year directly within the Create and Edit Service Anniversary modals. A new button labeled Select Swag Items opens a modal displaying available items, allowing for seamless selection. Validation checks ensure sufficient stock is available for selected items, and alerts will notify admins if stock is insufficient. Additionally, a new customizable message field will allow admins to tailor their anniversary greetings for recipients.

Where to Find It: Admin > Celebrations > Manage Anniversaries > Userโ€™s Choice Gift

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

  11. Admin Configuration for Custom Nomination Values by Country and Organizational Unit

We have implemented a feature that allows admins to set custom nomination values based on country and organizational unit. This enhancement enables a more tailored approach to nominations, ensuring that different organizational units can have distinct values for their winners. Additionally, a limit has been established on the number of users who can be announced as winners within each country and organizational unit. If the maximum number of winners is reached, no further announcements can be made unless the limit is adjusted. This feature aims to create a more organized and effective recognition program.

Where to Find It: Admin Center > Manage Nomination Programs > Monetary Nomination > Custom Values

    Accessible for User Type: Admins

Reference Documentation: Learn more for the report here, and for configuration of the budgets here

  12. Voting Limit Configuration

Admins can now customize voting limits for the Nomination Program. This feature allows the establishment of distinct vote limits, including general, internal, and external categories, providing flexibility in managing nomination processes. This functionality includes three distinct categories of voting limits:

    • General Voting Limit: Defines the maximum number of votes a user can cast for any nominations.

    • Internal Voting Limit: Sets a separate cap on votes cast for internal votes, ensuring a focused approach to recognizing internally within own division.

    • External Voting Limit: Allows for the establishment of limits on votes for external nominations.

Where to Find It: Admin Center > Manage Nomination Programs > Create/Edit Program

    Accessible for User Type: Admins

Reference Documentation: Learn more for the report here, and for configuration of the votes here

  13. Voting Weight Adjustment

The Voting Weight feature enables admins to set different weights for internal and external votes within the Nomination Program. This enhancement ensures that the impact of each vote can be appropriately calibrated based on its source, allowing for more nuanced recognition outcomes. Votes cast by users within the division can carry a different weight compared to those cast by external stakeholders. For instance, internal votes could be valued at 75% of the total weight, while external votes could be valued at 25%.

Where to Find It: Admin > Manage Nomination Programs

    Accessible for User Type: Admins

Reference Documentation: Learn more for the report here, and for weighting of the votes here

  14. Voting Report: Sustainability Project Vote Summary

A new Sustainability Project Vote Summary report has been introduced under the Operational Reports submenu. This report offers a comprehensive view of project votes within a selected campaign, providing admins with valuable insights into which sustainability initiatives received the most support.

The report is divided into two sections: Project Votes Overview and Voters for Project. Projects are displayed in descending order based on the total number of votes, and admins can view detailed information on who voted for each project.

    Where to Find It: Admin

    Available To: Admins

Reference Documentation: Learn more in our detailed documentation.

  15. Sustainability Projects

We are enabling the creation of a sustainability campaign where points from non-monetary awards are collected as stars, representing votes that can later be used to support various projects. Votes can be configured based on whether they are for giving or receiving recognition. Additionally, there is a configuration for message quality, ensuring that only senders with high-quality recognition messages will receive votes, preventing the use of generic responses like "thank you" solely for voting purposes.

Where to Find It: Admin Center > Campaigns > Manage Sustainability Projects

    Accessible for User Type: Managers

Reference Documentation: Learn more in our detailed documentation

Use Case: Users receive non-monetary awards throughout the year. The company creates various sustainability projects, and at the end of the year, the accumulated votes (stars) determine which project receives the most support. This leads to a company donation to the winning project, enhancing engagement and accountability in the recognition process.

  16. GCodes Configuration Update

In the System Settings under Module Configuration, a new GCodes option will be added to the Catalog Eligibility section. The existing logic will remain in place, ensuring that when GCodes is selected, countries must be specified as either included or excluded. This determines which employees from specific countries can access the GCodes option within the application.

Where to Find It: Admin Center > Campaigns > Manage Sustainability Projects

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

  17. Social Wall Sharing Restriction for Recognition Programs

A new configuration option has been introduced under Additional Options for recognition programs to restrict sharing on the social wall. This update allows admins to prevent specific recognition programs from appearing on the social feed, as requested by a client. The configuration includes a new checkbox: Prevent Social Wall Sharing, which will ensure that recognitions from the selected program can not shared on the social wall.

Where to Find It: Admin > Create or Edit Recognition Program > Additional Options

    Available To: Admins

Additional Information: When Prevent Social Wall Sharing is enabled, any recognition from that program will not appear on the Awards For Publishing page. This option cannot be selected if Automatic Feed Post is enabled, and vice versa. Refer to our detailed documentation for creating recognition programs.

๐Ÿ”ง Enhancements

  1. New Status Filter and Memory Book Checkbox for Moments

We are introducing a new dropdown menu for Status in the Moments section, with options 'Active' and 'Not Active.' By default, all moments will be displayed. However, if the admin selects 'Active,' only active moments will be shown, and if 'Not Active' is chosen, only inactive moments will be displayed. Additionally, a new checkbox is available to filter and display only moments that are connected with memory books.

Where to Find It: Admin Center > Celebrations > Manage Moments That Matter

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation

  2. Proxy Login Access for Country Admins
We are enhancing the proxy login functionality to provide access to country admins in addition to global admins. This change allows country admins to utilize the proxy login feature, enabling them to perform tasks on behalf of other users within their respective regions.

Accessible for User Type: Country Admins, Global Admins

Reference Documentation: Learn more in our detailed documentation.

  3. Automation of Notification Sending for Nominations

We are implementing a job to automate the sending of existing notifications. When the nomination phase begins, this job will trigger notifications for all relevant participants, including nominators, voters, and final ranking approvers. This automation eliminates the need for admins to manually send notifications at the start of the nomination phase.

Where to Find It: Admin Center > Manage Nomination Programs > Create/Edit Program

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

Use Case: This feature streamlines the nomination process by ensuring that all relevant participants receive timely notifications at the start of the nomination phase without requiring manual intervention from admins. By automating notifications for nominators, voters, and final ranking approvers, we enhance communication efficiency and allow admins to focus on other critical tasks during this important phase.

  4. Enhancement of Nomination Program Filters in Admin Center

We are introducing a new checkbox option, 'Filter by Division,' in the Admin Center for creating or editing Nomination Programs. This checkbox will be located under the existing 'Filter by Country' option. The addition of this feature is aimed at enhancing the usability and functionality of the nomination process, particularly in large organizations.

Where to Find It: Admin Center > Nomination Programs > Create/Edit Program > Additional Options

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

Use Case: For organizations with a significant number of employees, filtering by country, org unit, and division will streamline the nomination, voting and ranking process, allowing users to focus on a more manageable subset of employees rather than the entire organization.

  5. Enhancement of Boost Button Configuration in System and Program Settings

We are enhancing the configuration options for the Boost button to provide more granular control over where and when the Boost button appears, ensuring alignment with various client requirements and use cases. In the System Settings, admins can set a general rule for whether the Boost button should appear for Monetary, Non-Monetary, or all recognition programs. At the Program level, admins can select which programs will be displayed under the list of available options when the Boost button is clicked.

    Where to Find It:
    1. System Settings: Admin Center -> Administration -> System Settings -> Module Configuration

    2. Program Settings: Admin Center > Programs > Manage Peer/Edit Program > Boost Button Options

    Accessible for User Type: Admins

Reference Documentation: Learn more for the configuration in System Settings and Program Configuration.

Use Case: For organizations with various recognition programs, this enhancement provides a more targeted approach to managing Boost button visibility, ensuring that the button only appears in the relevant programs and for eligible award types. This refinement helps prevent confusion and ensures a seamless user experience.

  6. Threshold for Message Quality Indicator (MQI)

With this update, admins can set the threshold value to define when the alert suggesting message improvements will appear. If the message quality falls below this newly set threshold, the suggestion alert will be triggered, prompting users to edit the message. Otherwise, the alert will not appear, even if the message quality is below 80%. This allows for a more tailored approach to quality control.

Where to Find It: Admin Center > System Settings > General Settings > Message Quality Indicator

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

  7. Threshold Configuration for Identifying Potential X-Shape Talent

  9. Swag Up: Product Mapping and Configuration

Manage Categories: Admins can now create categories specific to SwagUp, marking them eligible for company-branded items.

Manage Products: SwagUp products are connected to the โ€˜redeemโ€™ option, and can now be enabled for redemption. These products will also have additional settings for Category and Product Locale. Products can be copied and localized for different countries.

    Accessible for User Type: Admins

  10. Justification Message Option for Nomination Programs with 0 Approval Levels

The justification message option is now available for nomination programs with 0 approval levels. Previously, this option was only accessible for programs with 1 or 2 approval levels. This enhancement ensures that the justification message can be selected even when a nomination program is created or edited with 0 approval levels.

Where to Find It: Admin Center -> Manage Nomination Programs

    Accessible for User Type: Admins

Use Case: Admins can now enable the justification message option for all nomination programs, including those with 0 approval levels. This update provides flexibility and consistency in requiring justification messages for nominations, regardless of the approval level configuration.

  11. User Exclusion Settings in Culture Intelligence Configuration
In the System Settings page, within the Culture Intelligence Configuration tab, we have introduced a new label: 'User Exclusion Settings'. This functionality is positioned directly below the 'Benchmark Configuration' label.

Where to Find It: System Settings > Culture Intelligence Configuration Tab

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation

Use Case: This update allows admins to exclude specific usersโ€”such as support team members who are not part of the clientโ€™s companyโ€”from being counted in the Culture Intelligence Dashboard. This ensures more accurate cultural insights that reflect only the clientโ€™s actual employees.
  12. Inclusion of Custom Products and Virtual Cards in Redeem Egift for Someone Else

  13. Custom Email Messages for Nomination Winners

We have enhanced the functionality for customizing messages sent to nomination winners by enabling email customization like the existing SMS customization option. Previously, only SMS messages could be tailored for different winners, while email messages remained the same for all recipients due to backend limitations. With this update, admins can now configure distinct email messages for individual winners, providing a more personalized communication experience.

Where to Find It: Admin Center > Manage Nomination Programs > Ranking

    Accessible for User Type: Admins

Reference Documentation: Learn more in our detailed documentation.

  14. Restrict Multiple Recipients

We have introduced a new feature that allows administrators to restrict the selection of recipients in recognition programs to a single individual when the Individual Recognition option is enabled. Previously, there was no limitation on the number of recipients for individual recognitions, which sometimes led to confusion in the recognition process. Now, when this restriction is activated, users will only be able to select one recipient for individual recognitions, ensuring clarity and adherence to program rules.
